Purchasing Assistant

Longwood Gardens seeks a full time Purchasing Assistant to support the Facilities Management Department. We are seeking a candidate that is proactive, flexible, and has the ability to work with a variety of people. This individual will be responsible for administering the materials acquisition process which includes research, processing purchasing orders, service contracts, and invoices for the Facilities Management Department.  In addition this position will also provide other administrative support for the Department.

Preferred applicants will have a minimum of 2 years experience in a similar role. This individual must be able to work accurately and efficiently with minimal supervision. Knowledge and effective understanding of office and maintenance procedures, experience ordering mechanical, electrical and plumbing equipment and  use of common office equipment is necessary. Excellent computer, organizational and communication skills are required including experience with Microsoft Office Suite and internet searches.

Membership Coordinator

Longwood Gardens seeks a Membership Coordinator to support the Garden Pass program.  This individual must have the ability to up-sell member levels and events by having full knowledge of the membership program. This individual will be responsible for communicating with members in a professional and time sensitive manner, and coordinating renewal, acknowledgement and fulfillment mailings with a mail house. In addition this individual will also perform accurate data entry and mail merges, assist with event preparations and staffing, and be an active participant of the Guest Services team to ensure an extraordinary guest experience.

We are looking for a candidate who has strong customer service and communication skills. Knowledge of Raiser’s Edge or other donor software is required. Strong proficiency with Microsoft Word, Excel and Power Point is a must. The preferred candidate will have strong writing and organizational skills and an ability to handle multiple projects with time-sensitive deadlines. Flexibility to work evenings/weekends/holidays as needed for events and/or during peak visitation. High School diploma required. A college degree and a minimum of 1 to 3 years experience as administrative assistant is preferred.

HVAC/Controls Technician

Longwood Gardens has an opening for an HVAC/Controls Technician in the Facilities Management Department.  This individual will be responsible for operating, maintaining, troubleshooting and servicing all heating, ventilation, air conditioning and refrigeration systems, including Green House and Process Control systems.  The applicant must possess or be capable of acquiring Universal Recovery Certification. The individual must be proficient through training and experience on working safely with HVAC, Process Control Instrumentation and Power Distribution systems.Some weekend, holiday and off hours work will be required including on-call coverage rotation. 

Coordinator of Library and Information Services

Longwood Gardens invites applicants for the managerial position of Coordinator of Library and Information Services in the Education Department.

Position Description: The Coordinator of Library and Information Services is responsible for visioning, leading, developing, implementing, and evaluating efficient and effective operations and management of the Library, Archives, Digital Library and related projects. The incumbent will lead strategic planning, outreach, facilities planning, and other initiatives designed to promote public and internal access to the information resources maintained by the Library, Archives, and Digital Library of Longwood Gardens. Particular focus over the next five years will be on Longwood Gardens’ Special Collections and Archives, with outreach, exhibition, preservation, digitization, and new interpretive and heritage management initiatives taking precedence. The incumbent will facilitate access to local niche cultural resources, using new media technologies and established metadata schemas and standards.

Library and Information Services Unit Description: The Library, Archives, and Digital Library serve Longwood’s staff, students, volunteers, and guests by providing access to Longwood’s varied library and archival collections.

Qualifications: The ideal candidate will possess a MLIS or equivalent from an ALA-accredited institution; however, candidates with a relevant Master’s degree and experience in Archives management and administration will be considered. Knowledge and experience with cataloguing using MARC, AACR2/RDA/FRBR, LCSH, and LC classification, authority files, OCLC and Z39.50 are essential. Budget administration experience required. Familiarity with special library administration, project management, ILS and DAM system management, and trends in library-related information technology preferred. Knowledge of DACS, Dublin Core, EAD, taxonomies, and archival description standards preferred.  Interest in visual resource management and best practices desired.

Salary: Salary is commensurate with education and experience for this full-time, permanent position.

Managing Director, The Center for Public Horticulture at the University of Delaware

The Center for Public Horticulture at the University of Delaware, which aspires to be a national leader in formal and professional education and research in the field of public horticulture, is looking for a Managing Director. The incumbent will be responsible for the daily operations of the Center, which is a partnership between the University of Delaware and Longwood Gardens.  He / She will be expected to serve as a resource to the public garden community, by conducting research and disseminating information to professionals, students and decision makers. This individual will assist in producing public horticulture professionals by developing educational programs and opportunities for professional enrichment. Specifically, the Managing Director will coordinate the Triad Internship program for University students, manage the web-based Career Profiles project, and implement distance based GIS training with other cooperators. He / She will act as an advocate for the Center by building relationships and collaborations with diverse stakeholders to promote the mission of the Center. Administrative responsibilities will involve coordinating the Center’s website, writing proposals to secure funding for the Center and presenting and publishing information about the Center.

The successful candidate will have a passion for public horticulture and have past experience working in a public garden setting. Candidates should have a minimum of a B.S. in horticulture, botany, plant science, landscape architecture, or a related field; an advanced degree is preferred. The successful candidate will possess strong communication, organizational, interpersonal and leadership skills. Proficiency with Microsoft Office is required, and candidates should be willing to learn new PC and Mac-based computer programs.
